Digitization of process audits for industrial production
The implementation of our Solvedio solution digitized daily checks and process audits in the production of refurbished printer cartridges. The introduction of a unified system for creating checkpoints and questionnaires, filling them out, and subsequent reporting has significantly improved efficiency, accuracy, and real-time data availability.

Challenge
In manufacturing and refurbishment processes, precision and rigorous quality control are key to maintaining high standards and efficiency. Every step of the production cycle must be documented, evaluated, and traceable. However, companies that manage their daily checks and process audits manually often face inefficiency, errors, and a lack of up-to-date data. Digitizing these processes is therefore a fundamental step toward automation, transparency, and improved overall quality management.
Key client challenges:
Challenge 1: Manually creating and editing questionnaires in Excel.
Challenge 2: No central database of checkpoints.
Challenge 3: Laborious evaluation and unclear reports.
Challenge 4: Risk of errors and duplication in manual processing.
Solution
Aspecta has implemented a digital solution on the Solvedio platform that enables complete management of daily checks and audits. The workflow includes all key roles:
- The Supervisor prepares and manages questionnaires according to the production and cassette refurbishment plan. They have access to the control point database, set their visibility, and update sections according to line type or production series.
- The auditor performs daily checks directly in the Solvedio application. They only see relevant checkpoints and fill in the result (OK/NOK). In the event of a serious discrepancy, they send an immediate notification to the supervisor.
- The Dashboard displays all key statistics – the number of checks performed, the number of discrepancies found, and overviews by auditor or series. Supervisors can filter data by week, month, or fiscal year.
The solution uses the Notifications, Workflow, Dashboard, Dialers, and Lists modules, which together form a robust ecosystem for managing control processes.
Implementation
The project was carried out in three main phases:
- Business analysis and technical specification – 1.5 weeks: detailed definition of processes, roles, and data models.
- System configuration – 5 weeks: creation of questionnaire structure, checkpoints, and workflow.
- Training and deployment – 1 week: training of supervisors and auditors, sharp start of production.
Results and benefits
By implementing the Solvedio solution, the company has managed to transform the originally manual and time-consuming process of daily checks into an efficient, fully digitized system. Automated questionnaires, centralized data, and clear reporting enabled teams to respond more quickly to discrepancies, improve process oversight, and save time for supervisors and auditors. The implementation brought not only immediate operational improvements, but also long-term sustainability and the possibility of further expanding the solution within production processes.
Results:
100% digitization of daily inspection and audit processes.
Reduction in errors when filling out questionnaires thanks to form logic.
Automatic Friday reports with an overview of discrepancies and auditor performance.
Current database of control points, accessible in real time.
Instant notifications for urgent discrepancies – accelerated problem solving.
Streamlining the work of supervisors thanks to simpler editing of questionnaires and sections.
Conclusion
The successful implementation of Solvedio's solution for daily checks confirmed that the key to effective process digitization is not only technology, but also a partner with professional experience and understanding of the business context.
