Use AI to improve your business processes
We help companies bring AI into the whole flow of their processes, from handling documents and customer requests to orders, payments, and internal agendas. We start from existing systems and practices and assess where AI can improve how they work or enable new ways of processing. We carry out changes as projects, together with the people responsible for each process in the company.

Which business processes you need to change
AI can also be used in processes that existing systems already support. But it is not always clear where using it makes sense and how large a change it requires.
AI across the whole business process
When designing a solution, we assess the whole process from start to finish, including how activities connect, the people involved, and existing systems. AI can support processes that span several departments as well as activities that run automatically without direct human intervention. The change does not have to be limited to removing manual work.
The solution does not always have to be an AI agent
Depending on what the process needs, the right solution may be an AI agent, automation, an application, or a change to an existing practice. The choice of technology is based on what the process has to achieve and what options the company already has.
In different parts of a process, AI can carry out selected activities, prepare input for decisions, help check quality and compliance with rules, or process information from several systems. In some cases, it can also enable activities that were not previously possible at the required scale. The goal is therefore not only to automate an existing practice; it can also be to change how the whole process works.
How we carry out changes to business processes
We start from existing processes and systems
First, we assess how the process works today, which systems and materials it uses, and which parts you need to change. If existing solutions can cover the new requirements, we use them.
We define the scope of the change and the responsibility
Together we name the process, its start, its end, and the change required, as well as the person who is responsible for the process in the company and will take part in decisions about changing it.
We choose a suitable way to implement it
Based on the needs of the process and existing options, we assess whether it is better to use an available application, build an AI agent, introduce automation, or change a work practice.
We also adjust related parts of the process
The change may require adjustments to existing systems, the connections between them, internal rules, or contractual terms. We handle these requirements as part of the project.
We take data processing rules into account
The environment in which AI may operate depends on the data it will process. If data must not leave a defined environment, the deployment has to include suitable infrastructure; we follow the company's shared rules for AI use and working with data. Infrastructure → Data →
We implement the change and verify it in operation
The outcome of the project is a revised, working process or tool that can be used in practice. We design quality and compliance checks as part of the process flow, so errors do not have to be found only after it is finished.
How we identify opportunities to change processes
Proposals for using AI do not only come up when new projects are planned. They can also come from employees' day-to-day work or from practices already in use in the company.
From analyzing employees' work
In AI Buddy, we analyze actual work activities and distinguish which should stay with people, where AI can help them, and which are suitable for automation. This analysis also helps identify opportunities for wider changes to business processes; carrying them out may require a separate project. How people work →
From practices and AI assistants people already use
A practice or AI assistant may first be created for one employee's work and gradually spread among colleagues. Once it is used across a whole agenda, it needs someone responsible for it, rules that apply to it, and a way to ensure data protection; it can then become part of a business process. Not every tool needs to be rolled out more widely.
From a specific need of the company
The impetus for change can come directly from management or from the person responsible for a particular process. The company may already know which process needs to change, even without analyzing day-to-day work first.
Employees' experience and proposals for process changes can complement each other. When some activities become part of an automated process, employees can focus more on oversight, decisions, and tasks that require human judgment.
How a process change project works
We carry out a change to a business process as a project with a defined scope, constraints, and governance rules. On the company's side, there has to be a person who is responsible for the process and can make decisions about changing it. Depending on the scope, the IT department, security specialists, and possibly procurement also need to be involved.
When it is a process change and when it is one person's work
At the start, we assess how many people, departments, and systems the planned change affects. If it is mainly about how a specific employee uses AI in their tasks, the area focused on people's work may be a better fit. How people work → If the change affects a whole process, several systems, or the rules by which the company works, it usually requires a separate project with assigned responsibility.
The boundary depends on the specific company, though. Even a change to one person's work may require a security assessment, while changing some processes can be relatively simple.
A project needs a responsible person in the company
If the company has not yet decided who will be responsible for the planned change, it is better to postpone the start of the project. During preparation and implementation, the team can also use AIGrip, a framework for working with AI that helps keep track of context, earlier decisions, and the progress of longer tasks. What you get
Improvement of existing processes
When designing changes, we focus on accuracy, flow, and the volume of work a process can handle.
The ability to handle a larger volume of cases
AI can help extend checks from selected cases to a wider scope or, depending on the solution, to the full volume.
Ongoing quality control
A process can be designed so that errors and cases needing rework are identified while it runs.
Less dependence of selected activities on the availability of specific people
Some steps can run automatically, while decisions and responsibility stay where they are needed.
A working solution ready for use
The subject of the project is implementing the designed change, not just analyzing it.
Justified proposals for further improvements
The opportunities identified provide input for decisions about further investment.
What this area of AI adoption does not include
Guiding employees in using AI on its own
Helping people with their day-to-day tasks is the subject of the area focused on people's work and of AI Buddy. How people work →
Replacing human judgment and responsibility
We set the scope of automation according to specific activities and the requirements of the process. Decisions and responsibilities that must stay with people are part of the solution design.
Implementing process changes within AI Buddy
AI Buddy can help identify activities suitable for automation or wider change; implementing them is the subject of a separate project.
A promised level of improvement in advance
We do not promise a specific result before the project is carried out. We evaluate and document the changes achieved.
Using AI on sensitive data without suitable infrastructure
If a solution needs to process data that must not leave a defined environment, its deployment depends on infrastructure that meets the relevant requirements. Infrastructure →
Reducing headcount as a project goal
We design process changes according to how processes work and what the company needs. When AI takes over selected activities, employees can focus on oversight, decisions, and other tasks that remain with people.
How to get started
In the first meeting, we can focus on a specific business process or agenda you want to improve. It helps to know who is responsible for that process in the company.
Together we assess how it works today, the existing systems, and the change required. Then we determine whether a separate project is needed or whether a change in how employees work can cover the requirement. The choice of a specific technology comes only after the needs of the process have been assessed. Overview of all areas AI adoption →
